Prepare a clear repair brief

Use the observations below to organize a first conversation. Stay off the roof and keep clear of wet electrical equipment, damaged ceilings, and unsafe areas.

• Create one incident number or dated folder for the roof condition.
• Identify the owner authorizer and separate on-site access contact.
• Record occupied rooms, access limits, pets, and resident notice needs.
• Separate temporary protection from investigation and permanent repair.
• Require approval records for concealed conditions and expanded work.
• Add marked repair photos and monitoring notes to the property file.

Keep three things separate

Facts: what you observed safely, when it happened, and what records you have. Questions: what the contractor needs to investigate. Approval: the exact scope, exclusions, price, and change process you agree to in writing.

Confirm who can authorize work

Name the owner or authorized decision-maker separately from the person providing access. For a rental, condo, association, or commercial property, establish the approval process and the affected spaces before anyone promises a start date.
